Reception spaces do more than greet visitors. They set the tone for the entire organisation. For a progressive office in Newcastle, the challenge was to create an entrance that felt warm, confident, and contemporary while reflecting the company’s commitment to people and place.

The original reception was functional but flat. White walls, straight edges, and hard surfaces gave it a corporate feel that didn’t represent the culture of the business. They wanted a space that felt more welcoming, more grounded, and more connected to the natural world.

Green Office Solutions was asked to design and install a biophilic-led scheme built around texture, shape, and flow. Wooden planters, soft curves, and a warm palette now define an entrance that has transformed the mood of the entire building.

The challenge

The existing reception suffered from familiar issues:

  • A clinical aesthetic with too many straight lines
  • Sparse décor that amplified echoes and made the space feel cold
  • A lack of natural materiality
  • No visual cues guiding visitors through the space
  • Limited sense of identity or atmosphere

The client wanted a reception that made people exhale when they walked in. Something modern, but not minimalist. Professional, but not sterile. A space that showed care.

Our brief centred on three principles:

  1. Introduce natural materials
  2. Bring softness through shape and form
  3. Use biophilic elements to create a calming, welcoming tone

Design approach: Softening the geometry

The building’s architecture was dominated by strong right angles and flat planes. To counter this, Green Office Solutions focused on curved forms, varied heights, and organic silhouettes.

Curved wooden planters

The hero feature of the redesign is a series of beautifully crafted, curved wooden planters positioned to guide movement through the space. Their shape does more than look good.

  • The soft curves contrast with the linear architecture
  • They slow the pace of the space, making it feel less rigid
  • They create natural zoning without building walls
  • They add a tactile warmth impossible to achieve with metal or plastic

The wood finish was carefully chosen to sit between Scandinavian warmth and contemporary elegance. Not too dark. Not too rustic. A finish that feels professional yet natural.

Layered plant textures

The greenery was designed not as decoration, but as sculpture. We used a mix of upright structural plants, cascading varietals, and softly rounded foliage to create depth and movement.
This layering achieves three effects:

  • Breaks up hard sightlines
  • Adds a sense of natural rhythm
  • Creates a calming visual balance for the eye

The shapes of the plants intentionally echo the curved planters, reinforcing the gentle flow of the space.

Creating a warm, grounded atmosphere

We wanted the reception to feel like a transition from the outside world into a place of focus and calm.

Natural materials as anchors

Wooden planters are not just aesthetic; they change the energy of a space. Compared with cold materials like metal or glass, timber:

  • Feels warmer on entry
  • Absorbs sound, reducing the clinical echo
  • Introduces a grounding element that balances technology-heavy workplaces

Visitors immediately feel the difference. The environment feels cared for rather than simply fitted out.

Soft silhouettes that relax the mind

Straight edges dominate most office environments. Introducing curves gives the brain a moment of rest. It’s subtle, but it works.

People feel more welcome when the shapes around them feel less rigid. Curves invite rather than instruct. They create a sense of flow and openness that is especially powerful in reception spaces.

Guiding movement and first impressions

The placement of the planters was not random. It was strategically designed to help people navigate the space intuitively.

  • The entry path is gently framed by curves, directing visitors naturally toward the reception desk
  • Taller structural planting creates privacy without blocking visibility
  • A consistent palette across the installation ensures the space feels cohesive and purposeful

This reduces the “What do I do now?” moment that visitors often feel upon entry.

Wellbeing through biophilic cues

While this project leaned heavily on form and materiality, wellbeing was still central.

Biophilic design is not just about greenery. It’s about replicating natural patterns that the human brain instinctively responds to.

This reception now delivers:

  • Lower perceived stress levels
    Curved forms and natural tones reduce the emotional intensity of the space.
  • Visual rest
    Layered planting offers gentle focal points that help the eye relax after travel or screen-heavy mornings.

    Wooden materials create warmth and familiarity, making the reception feel more like a living environment than a corporate checkpoint.

    Soft foliage and timber surfaces help absorb sound, creating a calmer atmosphere even during busy periods.
